Ryan Headley brings over two decades of hands-on insurance industry experience to every engagement — not as a distant consultant, but as someone who has lived every side of the operation.
A graduate of Sierra Academy of Aeronautics (with studies at San Jose State University), Ryan began his career as Director of Flight Operations at Sierra Academy — a role that demanded rigorous systems thinking and operational precision. That foundation proved invaluable when he transitioned into the insurance industry in 2003.
Early in his insurance career, Ryan honed his skills on the sales side — developing a producer's instinct for client needs and relationship-building that would inform every operational decision he made as a leader.
As a Partner at Stratton Agency in San Carlos, CA, Ryan helped build and lead an independent insurance agency — navigating the daily realities of client relationships, staff management, carrier negotiations, and the technology that holds it all together. When the agency was sold to PCF Insurance in 2018, it was a testament to what the team built together.
Following the sale, Ryan moved into specialized consulting, focusing on the Applied Epic management system — the platform most agencies rely on and few fully leverage. That expertise eventually led to founding Epic Optimizer as a dedicated practice built around one discipline done exceptionally well.
Ryan attended San Jose State University before completing his training and graduating from Sierra Academy of Aeronautics — building the technical and operational foundation that shaped his entire career.
Ryan's professional career began in aviation — leading flight operations at Sierra Academy. The role demanded exacting process discipline and systems thinking that would define every chapter of his career that followed.
Ryan entered insurance on the sales side — building his book of business and developing a producer's understanding of client needs, carrier relationships, and the nuances of coverage that only come from time in the field.
Moving from producer to partner, Ryan helped shape Stratton Agency's direction — bringing his sales instincts into the operational and leadership fabric of the agency. He helped build and lead an independent insurance agency managing client relationships, staff, carrier negotiations, and a growing book of business.
Stratton Agency made a deliberate shift from generalist to specialty — pioneering non-owned auto coverage for the cannabis and pizza delivery sectors. Through their specialty program, Nine Point Strategies, the agency became one of the leading cannabis retail brokers in the country. Ryan spearheaded the development of proprietary software tools that drove profitability and delivered customer satisfaction scores second to none in the industry.
Stratton Agency was acquired by PCF Insurance in 2018. The successful exit validated Ryan's operational approach and set the stage for his transition into specialized consulting.
Ryan moved into consulting, specializing in the Applied Epic management system — drawing on his agency-side experience to help other agencies optimize the platform they already owned but weren't fully using.
Ryan founded Epic Optimizer as a dedicated practice focused entirely on helping insurance agencies maximize Applied Epic and their surrounding technology ecosystem — combining two decades of real agency experience with deep platform expertise.

Ryan grew up in Redwood City, CA, and attended St. Francis High School — the Bay Area has always been home. Originally from Wisconsin, he carries that Midwest work ethic alongside a deep loyalty to his hometown teams. He went on to attend San Jose State University before graduating from Sierra Academy of Aeronautics before launching his career as Director of Flight Operations.
He and his wife Erica married in 2003 — the same year he entered the insurance industry — and together they have three children: Tyler, Wyatt, and Kiyomi.
